Refunds for Fees, Classes, etc.

Dear Douglas County School District Families,

During this time we find ourselves in, our families are facing many worries. Some parents may have lost their jobs, some may be struggling to put food on the table, and some may worry how long our current situation will last. The COVID-19 pandemic has caused stress and worry for all of our families.

We understand this and are reaching out with news that we hope will ease some of your worries. The Douglas County School District (DCSD) will be refunding some of the fees and payments made to the school district. The following list of refunds will be issued by your child’s school. Refunds will be issued in the next 4-5 weeks and will be credited to your original form of payment:
  • Camps: All spring camps that did not take place in full will be refunded.
  • Clubs/Enrichment: A prorated refund for the amount of meetings that were not attended due to the school closure will be refunded in full.
  • Events (including Prom): All event related items that did not take place in full will be refunded.
  • Field Trips (including Outdoor Ed): Any trip that did not take place in full minus any non-refundable portions paid to outside entities will be refunded. If a flight credit was received for the student, that information will be shared with the parent(s) for future use to help offset that lost portion of the refund.
  • Parking: If payment was for the entire year, DCSD will refund 25%. If payment was for the second semester, DCSD will refund 50%.
  • Preschool Tuition: The last week of March through the remainder of the school year, if prepaid, will be refunded in full.
  • Spirit Items/Swag: Any swag items that the student was not able to obtain prior to the closure will be refunded in full.
  • Sports: The spring sports participation fee ($185 HS/$85 MS) will be refunded in full.
  • Sports Items: A prorated amount of any partially utilized sports fees will be refunded. For example, if a student paid for green fees and only got to use 25% of the dates, DCSD will refund the remaining 75%.
Additionally, elective classes that are material heavy, require specific equipment, or are lacking in the overall experience while learning remotely, will be refunded at 50% of the paid second semester fees for the following categories:
  • Art classes (Ceramics, Jewelry, etc.)
  • Cooking/Family & Consumer Science classes (FACS, Catering, etc.)
  • PE classes (Power Weights, Strength & Conditioning, etc.)
  • Theatre classes (Theatre, Tech Theatre, etc.)
  • Career Prep classes (Auto Shop, Woodworking, etc.)
There are a few other case-by-case considerations schools will determine, as needed. For example, classes that include lab work will be refunded on a prorated scale, based on the number of labs completed in school prior to the start of remote learning. Also, classes with field trips included in the course fee will be refunded on a prorated scale based on the number of field trips taken prior to remote learning.

Finally, these fees/payments will be handled as follows:
  • BASE (before and after school care): Any fee paid for care that did not take place prior to the start of remote learning will be credited back to the student’s account. Please contact your child’s BASE program manager if you would like to request a refund.
  • Transportation Fees: The DCSD Finance Department will issue refunds of $37.50 for any paid annual transportation fee. This represents the last quarter that students are not riding the bus.
  • Nutrition Services Meal Balances: The DCSD Nutrition Services Department is refunding any prepaid meals as requested by parents by the Refund Student Lunch Balance 2020 form. Meal balances can also be donated to the Emergency Relief Fund by the Foundation for Douglas County Schools.
    • Donated money will be used to expand technology access during the school closure, expand online and remote learning, provide remote school counseling and mental health resources, and respond to the most urgent needs of our community as they arise.
