Information about PDF files

Files submitted electronically to the Print Services should be in PDF format.
PDF (Portable Document Format) is a universal file format that preserves the fonts, images, and layout of source documents created on a wide range of applications and platforms.

To create a PDF file (Mac): To create a PDF file (Windows)
  • Open the document you want to save as a PDF file.
    Choose File > Print.

  • From the PDF pop-up menu, choose Save as PDF.

  • A window will open for you to specify where to save the file and what to name the file. After selecting name and location for the file, click Save.

  • This creates a digital master PDF file. All graphics are at full resolution, and the file includes each font character it uses.
In the Windows environment, Adobe Acrobat or another PDF creation program must be installed on your computer. Contact your buidling’s CRT or a desktop support technician if you need help creating PDF files.
 
For users of InDesign CS2
To create a PDF file in InDesign CS2: To package native InDesign CS2 files
  • Open the document in InDesign CS2.

  • Choose File > Export

  • Select a file name and location.

  • Choose Adobe PDF format in the bottom from the Format drop-down menu in the bottom of the window.

  • Click Save.

Native InDesign CS2 files may also be submitted for output if they are provided in a packaged format.

  • Open the document.

  • Choose File > Package.

  • In the window that appears, enter relevant information for the printer and click “continue.”

  • Specify a folder name and location for InDesign to store files associated with the document. Be sure the following boxes are checked in the bottom of the window:
    -Copy fonts
    -Copy linked graphics
    -Update graphic links in package

  • Click “save.”

  • A window will opening with a warning about unauthorized copying of fonts. Click “OK.”
    InDesign will then copy all files, fonts and graphics associated with the document into the folder you designated. This entire folder should then be sent to Print Services.
