Please read the following helpful hints that will enable our mail
couriers to process your mail more efficiently:
The goals of the District Mail Services are to pick up, sort, process,
post and deliver school / department and U. S. Mail. Using the following
guidelines will enable us to do our job in a more cost-effective
manner within the guidelines of the U. S. Postal Service. We need
your continued support in keeping our rates and permits as low as
possible.
| Please use the following general mail guidelines: |
1. Address -
All inter-office mail envelopes must have the following information:
a. Date; b. Name
of person mail is to be delivered to; c. The
school name / or department of that person; d. Person
sending the mail; e. School /
department of person sending mail
2. DO
NOT MIX U. S. mail with inter-department mail. All
inter-office mail must be in inter-department envelopes.
If you want to use a regular envelope for inter-department
mail, please place that envelope inside an inter-department
envelope.
3. Please
make sure of a location, (school / department), of an individual
when you send inter-district mail.
4. Mark all overseas
mail with a special note to us so we can attach additional
postage. If you do not do this, it will be returned to us
for additional postage, and this will cause the piece of mail to
be delayed. A Customs Form must be filled out for boxes
or packages leaving the country. This form must be signed by the
person sending the parcel.
5. Rubber Band all U.S. Postal mail together
facing the same direction. Sealed letters in one group. Unsealed
letters with flap up in a separate group.
6. Rubber Band all inter-office mail
together in a group. If the group is large, make more than one group.
7. All first-class U.S. POSTAL MAIL MUST
HAVE A RETURN ADDRESS of the school / department it is sent
from, in case it gets returned, it will get back to the correct
sender.
8. All UPS packages must have a physical
street address. UPS will not deliver to P.O. Boxes under any
circumstances. Labels must be easily readable and appropriately
applied to boxes. Packing books and other weighted materials should
be in smaller boxes. Please do not use large boxes. Some materials
that are lost through distribution, is because of poor packaging. Do
not send any boxes through the warehouse without proper paperwork
and labels.
9. Please be sure to seal all manila envelopes with
metal clasps under flaps. Our postage machine is unable to seal these
type envelopes and apply postage as with letter size envelopes.
10. Metal objects and
odd items must be in padded envelopes and flagged " hand stamp". Example:
(paper clips, pins, magnets, pencils, pens, coin money). DO
NOT SEND IN PLAIN ENVELOPES. The Post Office will not accept
these items. We can not always catch this at Mail Services before
it goes to the Post Office.
11. MAIL PICKUPS ASSISTED BY
THE WAREHOUSE. Do Not Send inter-district boxes in the school mail. Please
fill out an inter- department transfer form and tape to the box
. Make sure all 3 copies stay on the box until picked up by the
warehouse. Place the box with items ready to be picked up by the
warehouse on your delivery day. (Example: DMC crates and
boxes, Historical Society trunks, large UPS boxes to be mailed,
bulk mailings). Call the warehouse one day before your scheduled
delivery date. Refer to your warehouse delivery schedule, if
you are unsure of your delivery date and call the warehouse
at 303-387-0347.
12. Media bags and media items need to
have a label with the correct destination clearly placed in the label
holder. If the label is not changed the item will remain at you
location until it is correctly labeled. When media items are
delivered in a white postal tub please keep the postal tub a your
location to return the media items. We have had the mail boxes
filled with media bags and nowhere to place the mail. When you
have more than one box to be picked up, please call Mail Services
at 814-5175, so we can bring in our dolly to help us carry the
mail and media items in one trip.
1. Prepare all bulk mail according to U.S.
Postal regulations before sending to Mail Services. (A list
of requirements has been included. Please call either Maria, Carol,
Ray or John Green if you have any questions.)
2. Call Mail Services at 303-387-0342 when
you know that you're going to have a bulk mailing so we can plan
for it. If you send bulk mail in on Friday we may not get to it until
Monday or Tuesday of the following week. All bulk mail will go to
District Mail Services. Please have the proper paper work filled
out so we can process it after it arrives at Mail Services. The post
office will not process bulk mail after 1:00 p.m. With our routes
we cannot get to the Post Office by that time. It will go the following
business day. The Post Office "guarantees" bulk mail delivery
for third-class within 5-7 working days.
3. To conserve funds please try to use
bulk mailings rather than regular first class whenever possible.
Have mail to Mail Services at least 7 days before it needs
to be received by the public.
1. Presorted First Class Mail
a. Presorted first
class mail is serviced the same as first class mail but at a lower
rate. Today that rate is $.352; b. For
a mailing to qualify as presorted first class, there may NOT be less
than 500 pieces of first class mail each weighing exactly the
same, with exactly the same contents, and exactly same
size. This includes exactly the same envelopes. (Example:
Report Cards). A return address is required and must be sorted
by zip codes.
2. Standard - Third Class:
a. Circulars, including
printed letters, which are being sent in identical terms to more
than one person; b. Printed matter
weighing less than 16 ounces. There may not be less than 200 pieces. Printed
matter means paper on which words, letters, characters, figures or
images or any combination of them not having the character of a bill
or statement of account, or of actual or personal correspondence,
have been reproduced by any process other than handwriting or typewriting.
Computer prepared material is considered to be printed matter and
is not considered to have the character of actual or personal correspondence.
1. Use Permit # 8 Presorted First Class -
500 or more items sorted by zip code. All pieces weighing the same,
same size and same contents.
2. Use Permit # 38 Non-Profit Third Class -
225 or more items sorted by zip code. If you have newsletters (no
advertising) they MUST BE DOUBLE BANDED. one rubber band across
the length and one more across the width. This permit is allowed
only for non-profit, no advertising.
3. Use Permit #134 Bulk Rate Third Class -
225 or more items sorted by zip code. For newspapers (advertising
allowed) they MUST BE DOUBLE BANDED. One rubberband across the
length and one more across the width. This permit is allowed for
items with advertising.
1. Library Rate:
a. Publishers books; b. Sound
recordings; c. Tapes or records; d. Equipment
to run tapes or records; e. Booklets
connected with tapes or records; f. Monologues
2. Post Cards:
a. Face all the
same direction; b. Place all
in same upright position; c. Check
for blanks; d. Separate and band
by zip code
3. Newsletters and Other Printed Materials:
a. Pieces not being
mailed in an envelope should be folded to show full address. One
and two page flyers will be returned to be placed inside an envelope. Do
Not Send Less than 3 pages folded and taped; b. The
loose edge of the pages must be taped as close to the bottom of the
piece of mailing as possible. DO NOT STAPLE. Please tape as
close to the bottom of the piece of mailing as possible. Make
sure the folded edge is at the TOP where the return address is and
the stamp will be posted, with loose edges facing down; c. All
pieces of the mailing should have labels or addresses facing the
same direction. Do Not place labels where the stamp is to be posted. Mailings
will be returned, if for some reason, the mailing is incorrectly
formatted for the Post Office to process; d. Place
all pieces in the same upright position; e. SEPARATE
and BAND by zip code.
